THRIVE Family Fitness LLC ("we," "us," or "our") operates and provides fitness services, nutrition coaching, and multi-generational group training. We are committed to protecting the privacy of our members, participants, and website visitors ("you" or "your").

This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our studio, use our website, sign up for classes, or interact with us. By using our services, you agree to the terms of this Privacy Policy.

1. Information We Collect

To provide our fitness and coaching services effectively, we collect several types of information:

Personal Information You Provide Voluntarily

  • Contact Information: Name, email address, phone number, and physical mailing address.

  • Account Credentials: Usernames, passwords, and security verification data used to access our member portal or scheduling platform.

  • Profile & Health Data: Age, date of birth (to ensure appropriate youth/teen class placement), emergency contact info, and limited health/fitness background shared via liability waivers to ensure your safety during training.

  • Financial Information: Payment card numbers, billing addresses, and bank account information. Note: All financial transactions are securely processed through our third-party merchant processor.

Information Collected Automatically

When you visit our website, we may automatically collect certain technical information, including:

  • Your Internet Protocol (IP) address.

  • Browser type, operating system, and device information.

  • Usage details, such as pages viewed, time spent on the site, and referral links.

  • Cookies and tracking technologies to improve your browsing experience and remember your login preferences.

2. How We Use Your Information

We utilize the information we collect to run our day-to-day operations and serve our community, specifically to:

  • Manage your gym membership, class bookings, and personal training schedules.

  • Process payments, billing, and recurring renewals.

  • Deliver tailored nutrition coaching and multi-generational fitness programs.

  • Send operational notifications, such as schedule changes, emergency closures, or reservation confirmations.

  • Send promotional emails and marketing materials about new classes, family events, or merchandise (you can opt out at any time).

  • Maintain a safe environment, enforce our terms, and comply with Massachusetts state legal obligations (e.g., liability waivers and record-keeping).

3. Sharing Your Information

We do not sell, rent, or trade your personal information to third parties. We only share your data under the following strict circumstances:

  • Third-Party Service Providers: We share data with trusted vendors who perform services on our behalf—such as gym management/scheduling software, payment processors, email marketing tools, and website hosting providers. These providers are contractually obligated to protect your data in alignment with Massachusetts standards.

  • Legal Obligations: We may disclose your information if required to do so by federal or state law, or in response to valid subpoenas, court orders, or government regulations.

  • Safety & Protection: We may release data to protect the rights, property, or physical safety of THRIVE Family Fitness LLC, our members, or the public.

4. Children’s Privacy & Youth Programs

Because THRIVE Family Fitness LLC proudly offers programs for youths, teens, and families, we take youth privacy incredibly seriously.

  • We do not knowingly collect personal information directly from children under the age of 18 without explicit parental or guardian consent.

  • All youth and teen accounts, class registrations, and liability waivers must be created, signed, and managed by a parent or legal guardian.

  • If we learn that we have inadvertently collected personal data from a minor without verified parental consent, we will delete that information immediately.

5. Data Security & Massachusetts Standards

In accordance with Massachusetts Data Security Regulations (201 CMR 17.00), we maintain a comprehensive Written Information Security Program (WISP) to deploy administrative, technical, and physical safeguards.

  • Encryption: We utilize secure encryption technologies to protect sensitive records (such as financial information or account credentials) transmitted across public networks or stored electronically.

  • Access Control: Access to member personal data is strictly restricted to authorized employees or coaches who require it to perform their professional duties.

  • Vendor Standards: We ensure our third-party digital processors maintain security measures that meet or exceed Massachusetts legal safeguards.

6. Your Rights & Choices

You have control over how your information is handled:

  • Account Adjustments: You can review, update, or correct your personal profile and billing information at any time by logging into your member portal.

  • Marketing Opt-Out: You can unsubscribe from our promotional emails by clicking the "unsubscribe" link at the bottom of the email. You will still receive operational emails regarding your active membership or class updates.

  • Data Access & Deletion: Residents may request a summary of the personal information we hold or request its deletion, subject to certain exceptions required by business record-keeping laws (like retaining signed liability waivers).

7. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our services or state regulations. When changes are made, we will update the "Last Updated" date at the top of this document. We encourage you to review this policy periodically.
